2009 PEARL HARBOR: HISTORY, MEMORY, MEMORIAL

 

WORKSHOP INFORMATION

We welcome your participation in the upcoming Pearl Harbor Workshop in Honolulu, Hawai’i. We look forward to meeting all of you this summer. In the meantime, the following information should answer many of the questions you might have regarding the arrangements at the Center.

DATES/TIMES OF WORKSHOP SESSIONS
The workshop sessions will begin on Sunday, July 26/August 2. All participants should plan to arrive on Saturday, July 25/August 1. Departure from Honolulu, after the program ends (approx. 4:30 pm), should be scheduled for either late Friday, July 31or Saturday, August 1 (Friday August 7 or Saturday, August 8 for the second workshop). When your travel plans are confirmed, please let us know your flight arrival and departure date and time in order to coordinate your housing arrangements.

PARTICIPATION AGREEMENT
An award agreement that spells out the Center's and your commitment will be mailed to you for your signature. Please read the terms carefully, sign, and retain the yellow copy for your records. The original and green copy should be mailed to our office.

TRAVEL SUBSIDY REIMBURSEMENT
Participants should purchase their air ticket AS SOON AS POSSIBLE TO GET THE BEST PRICE and send a copy to my attention. The receipt should clearly show the amount paid for your air ticket. The Center will reimburse you 35-40% of actual cost depending on your location. West coast and Midwest participants will receive 35%; east coast 40%. Receipts showing travel itinerary and actual amount paid must be sent to our office in order to process payment. Reimbursement for travel will not be processed until after the workshop session. Due to the high volume, it will probably take 3-5 weeks before you receive the reimbursement. If you have already purchased your ticket, please submit your receipts and itinerary with your award document and medical forms (to be sent in the mail separately).

STIPEND
Participants should come prepared to cover all of their living expenses during the workshop. At the completion of the workshop on Friday, you will receive a check in the amount of $750.00. Participants departing prior to the conclusion of the workshop will have their stipend pro-rated.

TAX LIABILITY
Please complete the attached W-10 tax form and return in the enclosed envelope. Per the NEH Terms and Conditions, your stipend and travel subsidy must be declared as income. However, these expenses may be deductible, so proper records should be kept.

HOUSING CHECK-IN
Check-in time for East-West Center housing facilities is usually 2:00 p.m. and check out time is 10:00 a.m. The Lincoln Hall front desk closes at 8:00 p.m. If you arrive after this time, you will need to stop at the Hale Manoa front desk to pick up your room key for Lincoln Hall. The Hale Manoa front desk is open 24-hours a day. Participants must check in at their assigned housing front desk to register, get their room assignment, room keys and, pay for their stay. You will be issued key cards that will open your individual room and building security door.

If for any reason you will not be arriving on your scheduled time, you will need to inform our office at least 72-hours in advance of check-in. Otherwise, you will be responsible for paying any penalty charges incurred with our housing office. Upon check-in you must pay the housing desk clerk for the full amount of your housing charges. The front desk will accept cash, personal checks, travelers’ checks, or credit card (Mastercard, Diners & Visa only) upon check-in to cover the cost of your housing accommodations.

ACCOMMODATIONS: ON-CAMPUS
If you will be staying at one of the Center’s dormitories, the housing office will make the dormitory assignment one week prior to arrival. Participants requesting to stay in the dorms should email our office one to two weeks prior to arrival to obtain their dorm assignment. Otherwise, please go to the Hale Manoa front desk to check on your assigned dorm.

Lincoln Hall

Hours: 8:00 am - 8:00 pm
Lincoln Hall is a four-story building about 5-minutes away from Burns Hall, and is serviced by one elevator. One bedroom (queen bed) and studio (double bed) units are single or double occupancy. If you would like to share a room with another colleague, a rollaway can be brought in at a cost of $11.00 p/night. All of the rooms have cable TV, compact refrigerator, phone, internet data port, private bath, towels and linen service. The rooms are not air-conditioned, but do have ceiling fans. Any type of cooking or heating (hot pot) is not allowed in the studio rooms. The Center does encourage participants to conserve on the use of towels. They can be changed daily be leaving them on the floor. If left hanging on the rod, towels will not be changed. Towels are not changed during the weekend but can be requested through the front desk. Bed linen is changed every Monday. Garbage is picked up Monday through Friday. Cup, shampoo, and soap provided “one time” upon arrival. The microwave oven, Pepsi machine, and coin-operated laundry facilities are located in the basement level of the building.
Cost: One bedroom with kitchen $52/night; studios are $38/night

Hale Manoa (2 single beds per room)

Hours: 24 hours
Hale Manoa is a 13-story building located at 1711 East-West Rd. The rooms are arranged into living units, with each unit consisting of three double and four single rooms. Each living unit has bathroom/toilet facilities and storage area shared by the residents within that unit (CO-ED bathroom and kitchen facilities). NOTE: These are graduate student dormitory rooms that share kitchen and bathroom facilities so you will have male/female students/participants sharing your space. Previous participants suggest bringing a robe and shower caddy to facilitate movement from your room to the bathroom. Each room comes equipped with a telephone, internet data port, bed, desk, and fan (none of the rooms are air conditioned). Shared kitchen facilities and coin-operated laundry machines are located on each floor. The Center does encourage participants to conserve on the use of towels. Those that choose to have towels as part of their housing reservation can have their towels changed daily be leaving them on the floor. If left hanging on the rod, the towels will not be changed. Towels are not changed during the weekend but can be requested through the front desk. Bed linen is changed every Monday. Garbage is picked up Monday through Friday. Cup, shampoo, and soap provided “one time” upon arrival. In addition, residents have access to the building’s lounges that are furnished with television sets, pool and table tennis tables. Vending machines with sandwiches, snacks, drinks, phone card, cleaning supplies, etc. are available on the first floor.
Cost: Double rooms are $25.00/night without housekeeping (no towels); $33.00/night with towels.

Hale Kuahine

Hours: 7:30 am - 9:30 pm
Hale Kuahine is a four-story dormitory with no elevator located at 1811 East-West Rd. Physical arrangements are similar to Hale Manoa.

ACCOMMODATIONS: OFF-CAMPUS
Ocean Resort Waikiki Hotel/Doubletree Alana Hotel
For participants requesting to stay at the Ocean Resort Hotel or the Doubletree Alana Hotel in Waikiki, it is approximately 1-1/2 to 2 miles. If you will be staying off campus, bus transportation is easily accessible. Buses run on Kuhio Avenue if you stay at the Ocean Resort. You will need to take the No. 4 bus from Waikiki to University Ave. and walk across campus to the Imin Center. Participants staying at the Doubletree can also catch the No. 4 bus by walking to a stop on Ala Wai Blvd. A map showing the campus will be left for you at the hotel with additional information. A ride on the bus is $2.00. A taxi fare from the hotel would probably run around $10.

TRANSPORTATION TO THE EAST-WEST CENTER
Participants staying at one of the hotels or the East-West Center have the option of taking a taxi directly to their hotel/EWC or use a shuttle service. A one-way taxi from the airport will cost about $30.00-35.00.

Shuttle option: Reliable Shuttle (Call 92 at the baggage claim area; white telephone). The cost is approximately $15 to the East-West Center

OFF-CAMUS PARTICIPANTS ARE RESPONSIBLE FOR THEIR OWN TRANSPORTATION FROM THE HOTELTO THE EAST-WEST CENTER, IMIN CONFERENCE CENTER.

TRANSPORATION - GETTING AROUND
Bus transportation around Honolulu area is quite easy and accessible. Please check at the front desk of your residence for bus schedules and routes. A monthly bus pass for unlimited rides can be purchased for $40.00 at Campus Center, 7-Eleven, Foodland, Star Market and satellite city hall offices. A single ride on the bus is $2.00 (you must have exact change). A 4-day pass (consecutive days) is also available for $20.00 at any ABC Store in Waikiki or Ala Moana Shopping Center. NOTE: Please note that the bus will be on a Sunday schedule on the first day of the workshop. Please consult the hotel desk for a bus schedule on the weekend.

PARKING
If you are planning to rent a car and staying on-campus during the workshop, please let our Program Officer, Cheryl Hidano, know ahead of time to request a parking pass for you. The cost is $3-5 per day depending on availability on campus and allows you in and out privileges. You may be assigned parking in the UH parking structure (about 10 minutes walk, $3.00 p/day)) or upper campus near your housing ($5.00 p/day).

If you have already indicated parking on your housing form, I would appreciate you confirming your request by email to HYPERLINK "mailto:hidanoc@eastwestcenter.org" hidanoc@eastwestcenter.org to verify all requests. In order to accommodate your request and to have parking available for you on Saturday, I will need to prepay the cost of your parking pass. The parking pass will be placed in a welcome packet in your room indicating where you will be able to park for the duration of your stay. Please have your money available for the pass on Sunday or Monday morning. Parking passes (allows for overnight parking) are arranged through the University of Hawai’i and usually takes one to two weeks to process. We will not be able to guarantee parking on campus for last minute requests.

If you will be staying off-campus and just require parking during the day, please also email me your request for a day parking pass at the same rate of $4.00 p/day. This request will need to be processed by the Imin Conference Center, separately from the UH parking office. The parking pass will be put in your welcome packet and left at the hotel. If you have made your own housing arrangements off campus, we will have your welcome packet available on Sunday morning at Lincoln Hall.

MEALS
Although the NEH stipend is provided to cover your housing and meals, we will provide a light continental breakfast (coffee/tea & pastries) and most lunch meals during the workshop. For those wishing to have a more substantial breakfast, Paradise Palms Café (within 5 minutes walking distance from Lincoln Hall or Hale Manoa) is open from 7:00 a.m., Monday - Friday. Hale Aloha is also open (within 10 minutes walking distance) from 7:00 a.m. Most days, a simple boxed lunch will be provided. Dinner service on campus is limited to Hale Aloha or Gateway cafeteria during the evenings. Hours of operation for Hale Aloha on the weekends are: Sat. - 10 am-7:30 pm; Sun. - 10 am-8:00 p.m.

Within walking distance (15-20 minutes) from campus are numerous restaurants and supermarkets. Please refer to the Orientation Handbook in your room for additional information.

During the day there are numerous eating facilities on campus (Campus Center Dining Room, Manoa Garden Bistro, and Paradise Palms Café).

Participants in the dorm are welcome to use the shared kitchen facilities and eat with the graduate students. The Center’s students come from countries all over the Asia/Pacific region to pursued graduate degrees at the University of Hawai’i. Coin-operated vending machines (including phone card) are located on the ground floor.

MEDICAL INSURANCE
Please complete the Health Clearance Form to inform us of any medical conditions or dietary restrictions that we should be aware of during your participation. We would also appreciate you completing the Certification of Health Insurance. Please return these documents with your participation agreement (to be sent separately).

DRESS
Dress in Hawaii is comfortable and casual (lightweight sports shirts for men, dress or slacks/shorts for women). The average Honolulu temperatures are in the high 80's during the day and in the 70's in the evening. Rain, especially morning showers, is frequent in Manoa Valley, where the East-West Center is located. Keep a light sweater or jacket handy since the Imin Center is air conditioned and can get cool during the day.

COMPUTER USAGE
During the day, participants will be able to access their email at one of the computer stations set up in the meeting room. Otherwise, we will have eight computers and one printer set up in JAB Room 2086 (second floor of John Burns Hall) for participants to check their e-mail during the evening hours. If you are interested in using the computer after regular office hours (7:45-4:30), please let me know. You will need to obtain a fab magnetic key to enter the building during evenings and weekends when the building is secured. If you plan to bring your own laptop computer,all of the Center’s housing facilities are equipped with a data port for high-speed internet access. Ethernet cables can be purchased from the Hale Manoa vending machines. At this time the Center does not have wireless but the University Campus has a number of locations

BANK
The closest bank is the campus branch of American Savings, located in the courtyard of Hemenway Hall on the University of Hawaii grounds. It is about a five-ten minute walk from the East-West Center. Hours of operation are Monday throughThursday, 8:30 a.m.-4:00 p.m., Friday, 8:30 a.m.-5:00 p.m. Bank of Hawaii is within easy walking distance on University Avenue. Many of the banks are now open till 5:00 p.m. at least one other day during the week. Several banks, located in supermarkets (Star Market in Moiliili) are open on Saturday and Sunday (10:00 am-3:00 p.m.)

The Campus Center offers three Automatic Teller Machines (ATMs) for cash withdrawls. ATMs from the following financial institutions and their supporting networks are:

FIELD TRIP TO PEARL HARBOR
The workshop will begin on Sunday, July 27 (August 2 for the second workshop) with a field trip out to Pearl Harbor and ending with a reception at approx. 6:30 pm at the Japanese Consulate. We will gather at the Imin Conference Center lanai at 11:30 am for introductions and promptly leave the Center at 12:00 p.m. We strongly recommend participants bring a water bottle and cap since it can get pretty hot during the day. The field trip will include a visit to the Arizona Memorial, Pacific Air Museum, Missouri and the Bowfin Museum. A picture ID is required. Due to security precautions, no handbags, backpacks, camera bags, and other such items are allowed onto the Memorial site. You will have opportunity to pick up some lunch upon arrival at the USS Arizona Memorial. Due to space limitations, spouses will not be able to join in the field trip.
